Job Opportunity: Youth & Family Services Manager

The Youth & Family Services Manager is responsible for the administrative oversight of youth enrollment, attendance, and related data entry for NSNP’s Out of School Time/ After School & Summer Programs, as well as youth, parent, and family relations. Responsibilities include providing social-emotional support to NSNP youth, engaging families in NSNP related activities, and ensuring the proper flow of information to parents of those youth enrolled in NSNP  programs.  The Youth & Family Services Manager works closely with the Youth Program Director to support school-year after school and summer programming, and build ongoing relationships with parents and families. 

This position is funded by the Office of Children & Families (OCF) and Public Health Management Corp (PHMC) Out-of-School Time (OST) contract. As such, this position must be on-site during program operation and 100% of their time is devoted to OST-funded services.

RESPONSIBILITIES

OST/After School & Summer Programs (30%)

  • Serve as Site Director for the Office of Children & Families OST (Out-of-School Time) contract. Attend mandatory OST Site Director and other training sessions for CitySpan, OST/OCF and act as liaison between OCF/PHMC and NSNP.
  • Promote and provide information on youth programs to interested youth and parents. 
  • Conduct outreach through tabling events and school visits, in collaboration with program staff and community partners.
  • Observe youth groups in order to monitor group dynamics, behavioral issues, classroom management, and physical space.  
  • Support in-house restorative practices, youth disciplinary issues, and proceedings.
  • Identify common issues and determine if group training or discussion may be helpful.
  • Plan and facilitate  parent orientation: 1) via phone and emails for OST/OCF youth and 2) via in-person meeting for summer program . 
  • Plan and manage logistics of field trip preparations (e.g., reservations, transportation, food, etc.)
  • Create and oversee youth recruitment and engagement plans.
  • Build and maintain communication with internal and external partners.

Parent / Family Relations: (15%)

  • Be the lead in communication between parents and NSNP.
  • Regularly keep in contact with parents of current, potential and past program participants.
  • Communicate with parents, in collaboration with staff, about youth attendance, discipline issues and program participation.
  • Build opportunities for parental involvement in programs and workshops.
  • Engage parents in special events and activities.
  • Be accessible to parents and guardians.
  • Develop and distribute all other parent notifications such as permission slips and notices.
  • Build trusting relationships and communicate with youth and families through an equitable, trauma-informed approach grounded in empowerment and collaboration. 

Enrollment, Attendance & Data Entry (50%)

  • Prepare and distribute application packets to families and youth.
  • Manage all youth enrollment for OST/OCF and summer programs.
  • Enroll OST/OCF youth in CitySpan (year-round)
  • Ensure all youth files are complete and in compliance (hard copy and in CitySpan), following up with parents as needed.
  • Oversee the completion and collection of daily sign-in sheets.
  • Enter attendance daily in CitySpan as required
  • Monitor youth attendance and program participation, follow up on absences and communicate with parents and program staff as needed.
  • Conduct administrative review/audit for OST/OCF yearly.
  • Transfer youth achievement benchmarks from incentive log into CitySpan.
  • Ensure all instructor certifications are entered & updated in CitySpan.
  • Ensure overall administrative tasks are completed and the program functions efficiently.

Other (5%)

  • Oversee day-to-day upkeep of program areas (kitchens, refrigerators, storage room,etc.)
  • Oversee housekeeping services.
  • Represent NSNP at public events, conferences, community meetings, and workshops.
  • Assist Development staff with reports for funders, partners and internal stakeholders.
  • Be prepared to lend a hand throughout the organization as needed.

SKILLS & QUALIFICATIONS

  • Bachelor’s degree from an accredited college or university in early childhood education, child development, special education, elementary education, or the human services field and 1 year of experience with children; OR 
  • Bachelor’s degree from an accredited college or university, including 30 credit hours in early childhood education, child development, special education, elementary education, or the human services field and 2 years of experience with children
  • Experience with data entry and related data gathering/monitoring platforms. Experience with CitySpan preferred. Strong accuracy and attention to detail required.
  • Resilient, self-directed, and results-oriented; strong problem-solving skills
  • Strong communication and interpersonal skills (collaborative, gives and receives constructive feedback, proficient in conflict resolution)
  • Fluency in English and Spanish
  • Culturally aware; embraces racial, gender, and sexual orientation equity, diversity, and inclusivity
  • Ability to work independently, collaboratively, prioritize work, take initiative, manage multiple tasks and meet deadlines; strong organizational skills
  • Proficiency with Microsoft Office and Google Suite
  • Ties to the local community desirable

WORK HOURS

Full-time, Exempt. 35 hours per week (this may fluctuate depending on the work week) with flexibility to work off-site, evenings, and weekends as needed.

COMPENSATION AND APPLICATION DETAILS

The salary range for this full-time, exempt position is $48,000-$51,000 per year, commensurate with experience. Some evening and weekend hours will be required as needed. Full-time employees receive up to 15 days of paid time off (PTO), earned on an accrual basis; this amount increases to 20 days after 4 years of service and 25 after 8 years. Additionally, the office is closed two weeks per year and there are 14 paid holidays.

Benefits include dental coverage, partial reimbursement of health insurance costs, monthly cell phone stipend of up to $50, monthly health & wellness reimbursement of up to $50, and eligibility for a Simple IRA account with 2% monthly employer contributions.
